Terms & Conditions
When you make your booking with the England Sports Group a contract is formed between us. We are obliged to set out the conditions of that agreement below. Your expectations of us should be very high, and we will always aim to meet and exceed them. If things should go wrong for any reason our staff will use their best judgment and work hard to put them right – quickly and effectively. We trust that all our customers will be reasonable, honest and fair, and you can be assured that we will be, too. Please take your booking as confirmed unless we contact you.
1. PaymentPayment for any course with ESG will confirm acceptance of the booking conditions by everyone on the booking form. Payment for courses can be made by credit card or cheque and must be within five working days of booking. If payment is not received within five days, your place will be released. Payment for term time courses is due by the first lesson. We will charge a late payment fee of 8% if the payment is not received by week 2 of the course. .
2. ChequesShould your cheque be presented at the bank and returned unpaid we are charged a fee by the bank. We therefore have to make a charge to you of £10 on each occasion this happens.
3. Cancellations- You may cancel for any reason up to the 1st of February for Easter camp bookings, up to the 1st of May for summer camp bookings and four weeks before the starting date of our term-time courses and half-term camps.
- Bookings must be paid for in full for holiday camps and term-time courses. We can not offer reductions for any sessions missed due to holidays or other activities.
- In the event that we cancel any term-time classes due to bad weather we will call you in advance and offer catch up lessons for alternative days. If you are unable to attend these we are not able to provide a refund, but instead will give you a credit voucher.
- After your child has attended their first day at camp, regardless of the number of days booked, cancellations due to illness or injury must be validated by a doctor’s note, and will be refunded in full less the days actually attended.
- If one child on the booking needs to cancel due to illness or injury, then you are also entitled to a refund for any other siblings on the booking
- You will be refunded in full less the days actually attended. Some GPs may charge you to issue a doctor’s note.
4. Booking alterations
Responsibility for all booking details lies with the person who made the initial booking. Where possible we will make changes to your dates, subject to availability.
From time to time we take photographs at camp that may be used for marketing and promotional purposes. We will ask you to sign a permission form to allow us to take photographs of your child on that day.
6. Health and safetyIn order for us to maintain appropriate standards of health and safety, children with certain medical or physical conditions may not be allowed to participate in some activities. We will always provide alternative activities.
7. Medical information
Please inform us of any activities a child may not be able to take part in, the reason why, and any medical or physical conditions or behavioural problems. All information given will be treated in complete confidence.
The England Sports Group team have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event staff will follow The England Sports Group Child Protection Policy and contact the local area Child Protection Committee.
9. TeamThe England Sports Groups ratio of coaches to children normally exceeds all statutory requirements. The actual ratio varies between activities, age groups, course and camps.
10. LiabilityThe England Sports Group does not accept liability for personal injury or the death of any participant unless directly caused by the proven negligence of the company or its servants.
11. ExclusionsIf a child is persistently naughty or disruptive, or if we feel their attendance affects the good atmosphere of the course, we may decide to exclude them. Transport home will be the responsibility of the parent or guardian and a refund will be made for days missed.
12. DiscountsOnly one discount is applicable per child per booking. For example, if you are claiming a friend discount or sibling discount, a scholarship discount is not applicable.
13. Programme changesIn some circumstances, such as unsuitable weather conditions, failure of equipment, building faults and other factors which may arise from time to time, we may have to amend our services and activity programme content, times, dates and venue. In these circumstances there will be no refund or compensation to the customer.
14. Activity ChangesWe cannot guarantee that all activities and pursuits will take place at every Camp England location. There are certain restrictions at some locations, which means some activities cannot be offered. In addition, we do not run a full programme of activities during the Easter holidays.
15. ComplaintsThe England Sports Group is committed to ensuring your child has an outstanding experience so that they can’t wait to come back. If you or your child are not satisfied with the service we provide, then we want to know. If we know of a problem while your child is still at the camp we can almost always resolve it. If we hear of a problem after the camp we will take great care to look into the matter, but we will not be able to make compensation, so please talk to the camp manager promptly if you have any complaint. If your child is still at camp and the problem persists please contact our head office. You can be assured that your complaint will be taken very seriously and dealt with swiftly.
16. Data ProtectionThe England Sports Group acts as a Data Controller for the purposes of the Data Protection Act 1998. We need to collect some personal details from you and the children on your booking so we can process your booking, such as names, ages and any applicable medical or dietary restrictions and, in some cases, credit or debit card or other payment details. It is your responsibility to ensure that you have the necessary permission to pass on the personal details of all the children for whom you are making a booking.
In addition, we would like to hold and use some of your details for future marketing purposes, for example, sending you promotional information. Please let us know as soon as possible if you do not want to receive future mailings from The England Sports Group.
